Introduction

This document was created using Excel 2010. You can use this manual to create charts with Excel 2007.
A chart is used to help interpret a mass of data. It is used to determine trends or changes in proportion. You can add a multitude of elements (text, picture, image or otherwise) to your chart. However, it is important to remember to only add items that will help understand the message brought by the chart . Never add anything that might distract from the chart or it's data.

Hooray! The return of the double-click

One option that was very handy in Excel 2003 is now back in Excel 2010. This is the possibility to double-click on any chart elements in order to change its formatting. With Excel 2007, you must place the cursor on the item to change and press the right mouse button and choose "Format ...". However, this may be difficult to select an item when several are close to each other. That is why the first option in the Layout tab and Formatting is the list of elements that make up the chart.

The next part is to create a chart in order to expand the options offered by Microsoft Excel.

A class chart can offer several types. For example, the first category column, offers 11 types of different charts. The first graph shows the data side by side of each other. The image at left shows the categories and types of charts. For example, there are eighteen possible types of column charts. They can be grouped into four categoties. The first places each data set one beside the other. The second place the data sets one above the other to show the cumulative thereof. The third grouping places the data over one another. But the total is still the same height. It's the proportions of each series that changes from one period to another. The last group of data places the data series, one behind the other to have a true three-dimensional effect.

The Pie charts should not have more than 5 or six data to be readable. However, you may also have a collection of data in a second "sub-chart."

There are also charts that show the type stock values ​​the highest, lowest and closing a purse or action. The charts of type "surface" can highlight points higher or low compared to others.

Edit the chart

With Office 2007, Microsoft has changed the structure of all the menus, including those for managing the charts. All options are found under three tabs: Design, Layout, and Format.

Design tab

L’onglet création you permet de determine the type de chart, the données qui y sont incluses, the styles de présentation and determine son emplacement dans votre classeur.

Change chart type

Save as template

You can prepare your own templates and save them. You can then reuse them for your next graphics.

Switch Row/Column

Excel offers an easy way to reverse the presentation of your data. You can then decide what is the best presentation of your data.

Note that the two charts above are 3D column charts. However, the data on the X and Y axes are reversed. The first chart shows the types of products by year. The second chart values by year and by type of product.

Select data

This option allows you to add, remove or change the data series presented in the chart.

The option Change row and column is the same as the option Invert rows and columns presented previously.

Other buttons allow you to add, change or delete data sets. The buttons with arrows allow you to change the order of presentation of the data series. This is useful when a data set mask another.

The image at left shows you how to add a data series. Enter the series title, or the cell address that contains it, in the first box. The second box specifies the cell addresss that contain the values you want to find in the chart.

*Press OK.

Another way to add data series to your chart is to copy and paste them directly into the chart.

*Select the data series you wish to add to an existing chart.
*Press the CTRL and G.
*Click inside the chart.
*Press the CTRL and V.

The chart will have a new set of data.

Chart layouts

The gallery of chart styles focuses on the presentation of data instead of all aspects of the chart . You can choose from the list, or further customize with options on the Format tab.

Move chart

You can always decide to change the location of a chart. You can place it on a spreadsheet next to your reports or values on a chart sheet in hand.

View draft

This option displays the chart in draft mode. This speeds up the display on the screen. However, today's computers are powerful enough to display high quality graphics without the wait. This option is rarely useful to users.

The active selection area selects a component that makes up the chart and then change its presentation (or its formatting). There is also an option to restore the original presentation if you wish. These options are so important to the development of the chart you will find them too early in the Format tab.

You can click on the components of the chart . However, when the elements are very close to each other, it may be easier to use the list of elements that is at the top left corner of the tab.

To edit a chart element, select it from the list before pressing the Layout button selection.

Picture

*Press the Insert button.
*Move the image to the location of your choice on the chart.

Shapes

You can also add shapes to create your own pictures or framing an important part of the chart . Combine these shapes to create the composition you want. You will find under the Format tab group Arrange commands that allow you to change the order forms and group them.

Text Box

You can also add text boxes, which adds short explanations to the chart.

*Press the Text Box.
*Place the cursor where you want.
*Enter the text of your choice.

You can then change the shape of the text box and move it to the desired location on the chart .

Chart title

A chart should have a title that represents the content or idea to be transmitted (higher sales ...) Excel offers three choices outlined by the image at left. You can always adjust the location of the track, keeping a finger on the left mouse button and move it.

Axis titles

An Excel chart can have up to three axes. The options outlined in the image on the left show the potential along the axis chosen.

Legend

A chart legend shows the names of each data series. The options here allow you to decide where you want to have it in the chart. The list provided is where we find the legend most. You can always select the chart with the mouse and move it to a specific location.

Data labels

The data labels show the value next to the data point on the chart . You can view the label to all points on the chart for a data set or even a particular point. Once posted, you can change its location and presentation (size, color ...)

Axes

The display of the axes used to display descriptions of data sets and the values ​​they represent. Seen on the right image the years on the horizontal axis (X), the description of the series on the depth axis and values ​​on the vertical axis (also called the y-axis or Y).

Gridlines

3-D Rotation

Trendline

It is sometimes difficult to determine a trend from a mass of data. That is why a trendline can give you a better highlight the results. The chart above shows the linear trendlines (green), the exponential curve (red) and the trend of linear prediction (blue).

Lines

The lines can best represent the data. There are the projection lines to show up and lines up/down to see the range between the minimum and maximum for each period. The chart at right shows what type of line. C This type of line is only available for stock charts.

Up/Down Bars

Error bars

Error bars indicate the margins of error based on certain criteria.

The Format tab

This tab allows you to really change the presentation of each of the components of the chart . It is here that improvements to the presentation of your chart will be realized. With Excel 2010 only, you can double-click on an item for a full list of options for presenting an item. You can also select the desired item and press the right mouse button and choose Format ...

List of elements

Like the Layout tab, the first option lets you select the item you want from the list or items available on the chart. This is useful when there are multiple elements grouped near one another.

Format selection

This option opens the window with a list of all possible layout options for the selected item. Double click on the item or the right mouse button and Formatting will take you to the same menu.

Reset to match style

You can experiment as much as you like knowing you can always revert to basic options. This is the rationale for this option. Experiment to find the best format for your chart.

Shape styles

You can choose from predefined presentation styles. The gallery lets you choose from multiple colors and gradients. There are more options in the Fill section of forms.

This option allows you to determine the merits of the chart or elements of the data sets, color, pattern, gradient or image of your choice.

*Select one data series.
*Press the right mouse button.
*Select a Format Data Series.
*Select Fill.

There are already options for colors, gradients and textures. You can customize these options further.

*Select the desired item.
*From the Layout tab or Formatting, select the Formatting option selection.

The transparency option allows you to remove the emphasis on some data or so you can see the data that are masked by others.

The a data serie with gradient fill "pops" to the eye compared to the rest. There are preset colors or you can create your own gradient fill with many colors. Use the buttons jouter/Retirer dégradé to add or remove color bars for the color transition.

You can also insert pictures to represent data. This can be a library of clip art image of Microsoft Office or other image that meets the needs.

*Select a data series.
*Select Format Series.
*From the Fill menu, select Fill.
*Select Picture or texture fill.
*For the example above, select Clip Art.
*Do a search on the item of your choice and select an image.
*Press OK.

The selected image will be "stretched" along the entire length of the bar. This may satisfy your needs. But the "stack" option is also very interesting. It allows, as the name says, stacking the images one over the other to represent the data series. In the above case, a complete image is displayed for each value of 5. There are three images to represent 15, 4 planes to represent 20 and 5 for 25 aircraft. It may be necessary to hide the outline of the shape.

Shape Outline
